This position is responsible for maintaining a professional office environment by overseeing the day to day operations of the departments under this company, which specializes in Architecture, Development and Property Management. The office administrator must ensure that the administrative activities run efficiently by providing structure to the organization’s staff.


The candidate must have advance knowledge in office management, proficiency in accounting principles and an understanding of Human Resource protocol.  The candidate must have at least an associate’s degree in business and experience working with QuickBooks, Microsoft office suite and related programs.


The applicant will be expected to be a team player, possess good communication skills and be very detailed oriented while being dependable and punctual. Taking direction from the business manager and working independently with little supervision is crucial.


Duties include:

Human Resource/Office

  • Supervise Administrative Assistant
  • Act as a liaison between employee and HR agent
  • Prepare and set-up new hires in system
  • Manage Employee Records and ensure compliance
  • Collect timesheet and report bi-weekly payroll to payroll agent
  • Control multiple insurance policies for the companies
  • Handle front desk during the absence of the administrative assistant


Accounting Assistant

  • Data entry in QuickBooks, including bank deposits and accounts payable and payroll
  • Process weekly check runs for several companies and check data for accuracy
  • Review reimbursements and credit card transactions within QuickBooks
  • Assist Accounting Manager with monthly bank and account reconciliations
  • Prepare weekly, monthly, quarterly reports for Accounting Manager
  • Assisting Business Manager with financial tasks and tax compliance
