Summary:

Provides administrative and finance support to CMP

Specific duties to include but not limited to:

  • Assists CMP staff in daily operations to meet organizational goals
  • Maintain department materials, including policies, meeting materials, mailings, reports, etc., as assigned by department director
  • Maintains accuracy and speed with pressure/time constraints
  • Supports all aspects of meetings as required including scheduling, reserving rooms, sending invitations, tracking responses, room set up, ordering food/refreshments, completing contracts/invoices as needed, registration, audiovisual equipment, WebEx and conference call capability
  • Prepare business and e-mail communication/mailings as assigned
  • Prepare program and departmental materials as assigned
  • Maintains strong internal and external customer relations with timely telephone response and written communication
  • Prepare reports, committee meeting minutes utilizing Microsoft Office software to include but limited to Excel, Word, Power Point, and Visio
  • Updates and maintains databases to support organizational operations
  • Updates and maintains CMP website and insures information is current and accurate
  • Accounts Receivable, Accounts Payable, cash tracking, and invoicing
  • Assists CMP Senior Accountant with ad hoc finance projects
  • Candidate needs to be highly motivated and demonstrates initiative to organize and find efficient solutions to achieve optimal workforce performance. Demonstrates a sense of urgency with time sensitive assignments
  • Ability to manage mixed priorities in a fast paced office setting with frequent interruptions

  • Candidate will have confidential interaction with professionals inside and outside the organization



Responsibilities:

EDUCATION AND EXPERIENCE

  • A.A.S. Degree or graduate of business administration program and three (3) years Administrative Assistant experience in a health care office supporting multiple teams


or

  • Minimum Five (5) years Administrative Assistant experience in a health care office without degree


KNOWLEDGE, SKILL AND ABILITY

  • Typing - 55 wpm / Keyboarding Ability
  • Proficiency with data entry, basic analysis and data manipulation
  • Proficiency with multiple or large data file manipulation for mail merge/correspondence preparation
  • Medical Terminology preferred
  • Excellent Telephone skills
  • Exceptional interpersonal and communication skills
  • Excellent time management and organizational skills, ability to multi task in a fast paced office environment
  • Proficiency of specific computers and/or software programs (Microsoft Word, Excel, PowerPoint, Visio, Access, database and web uploading) Maintain proficiency in additional computer applications, as indicated
  • Ability to work with autonomy, self-directed with solid understanding of when to seek clarification or escalate a concern
  • Professional discretion in working with confidential information and solid understanding of HIPAA compliance
  • Proficiency with standard office equipment (fax, copier, printer, laptop, projector)
